Additionally, asset management allows schools to keep track of software licenses and update schedules, minimizing the risk of security breaches and ensuring compliance with regulations and licensing agreements.

IT asset management also helps optimize the school’s budget and resource allocation. By efficiently tracking IT assets’ lifecycle, schools can make informed decisions on repairs, upgrades, or replacements, preventing unnecessary expenses and maximizing the lifespan of their technology investments. 

Consider these few examples. The district distributed 100,000 laptops to students. When these laptops were returned, it was discovered that 90,000 of them had the wrong power supply or connector. As a result, the district had to purchase an additional 90,000 power supplies, incurring significant expenses that could have been avoided with proper device tracking and management.

Another challenge arises when retrieving devices from graduating seniors. Students leaving the school may not prioritize returning their laptops, causing delays in onboarding for incoming first-year students or new students. This hampers efficiency and places an additional financial burden on the school system, as they may need to replace devices that could have been reused.

There is also the issue schools face when they are growing. The Parkview Baptist School, one of the largest private schools in Louisiana in terms of student body size, has over 1200 students enrolled from pre-K – to grade 12. The school continues to grow every year, and as operations and inventory expanded, they needed a solution to track all their equipment efficiently.

Technology is an important part of learning at Parkview Baptist, and the school provides most of the students in all grades with either an iPad or a laptop for use on campus and at home. The school also stocks a large inventory of technology-based learning equipment such as projectors, chargers, accessories, and more. With a large student body and many high-ticket assets to track, Parkview Baptist had to implement an inventory management system that could seamlessly manage all devices and accessories while still being flexible enough to fit their unique workflows.

One other example is the Global Preparatory Academy (GPA). This dual language Spanish immersion public charter school partnered with Indianapolis Public Schools, which has over 650 students from pre-K to Grade 7. The school utilizes extensive technology to implement its learning philosophy, including MacBooks, iPads, Chromebooks, and Smartboards. However, the school faced challenges with inaccurate equipment tracking using static Excel spreadsheets. The lack of real-time updates led to inventory count discrepancies and item availability confusion. However, the school improved workflows for teachers and students and experienced enhanced accountability when they implemented an ITAM system.
